Standard Reports in Detail

Overview and functionality of the pre-installed reports in Docusnap365 – for inventory, software, systems, and more.

Standard Reports in Detail

Docusnap365 provides a set of preconfigured reports that can be automatically or manually installed via the Marketplace. These reports serve as a direct entry point for typical IT-related questions — without requiring custom report design.

Purpose and Use Cases

Standard reports are designed to make frequent evaluations immediately available:

  • System and software overviews
  • License inventories and OS distribution
  • IP address management
  • Hardware information
  • and much more

They are suitable for IT operations, documentation, audits, as well as for management reports.

Reports Are Based on Predefined Data Sources

Each report in the Marketplace consists of two components:

  1. Data Source
    – Extracts and prepares the required raw data (e.g., system data, user information, shares).
    – Depending on the volume and complexity of the data, preparation can take a few seconds or minutes.

  2. Report
    – The presentation based on the prepared data source.
    – The report is displayed correctly only when all data is fully available.

Important: Some reports may only appear after the first full data preparation in the interface.

Installation Notes

  • Reports are managed in the Reports > Reporting section
  • Once installed, they are ready to use immediately
  • Updates appear under the “Updates” tab in the Marketplace

Viewing Report Contents

An installed report can be opened in the Reports > Reporting section. There it can be:

  • Viewed (live preview)
  • Exported as PDF or Word

Each report is technically based on a defined report template, which is linked to the underlying data sources.

Modifying Reports: Only via Cloning

Standard reports from the Marketplace are not directly editable to ensure consistency and update capability.

To customize a report, it must first be cloned:

  1. Select the report
  2. Choose the “Clone” action
  3. Modify the cloned report as needed (e.g., in the report designer)

Note: Cloned reports no longer receive automatic updates — they are fully user-managed.

Updates & Uninstallation

  • When a report in the Marketplace is updated, it appears in the “Updates” tab
  • The installed version can then be selectively updated or completely uninstalled
  • Reinstallation is possible at any time — existing data is retained

When Custom Reports Are Needed

Although the standard reports cover many use cases, it can be useful to create custom reports in addition, for example:

  • Company-specific CI/CD layout
  • Advanced evaluations on custom data sources
  • Combined outputs across multiple tenants or locations

For this, Docusnap365 still offers the report designer and full customization functionality.

Summary

  • Standard reports provide ready-to-use evaluations for typical IT questions
  • They are centrally managed and versioned via the Marketplace
  • New tenants automatically receive all standard reports
  • Customizations are only possible via cloning – original reports remain untouched
  • Ongoing extensions include an integrated update mechanism
  • For specific requirements, user-defined reports can be created at any time
