Understanding Basic Data

Define basic data such as organizations, platforms, domains, and locations – and use them specifically for filtering and documentation.

Introduction

With basic data such as organization, location, platform, and domain, objects in Docusnap365 can be grouped into logical units. This structured classification enables targeted filtering, analysis, and documentation of complex IT environments.

Configuring Basic Data

The following basic data elements are available:

  • Organizations: e.g. subsidiaries, customer tenants, or business units
  • Domains: Active Directory structures or namespaces
  • Platforms: e.g. OnPremise, IaaS, SaaS, PaaS
  • Locations: Physical or logical data centers, branch offices, sites

Each of these data types can be managed individually in the Configuration section. They are used both for categorization and as filter criteria in views, reports, and analyses.

Applying Global Filters Based on Basic Data

Docusnap365 offers the ability to restrict the entire application to specific subsets using global basic data filters. All data views, analyses, reports, and documentation outputs are then based exclusively on the selected filters.

Examples of global filter options:

  • Only data from the organization “Muster GmbH”
  • Only information for the platform “SaaS”
  • Only systems at the location “Datacenter A”
  • Combinations of multiple criteria (e.g. SaaS + Location A)

Selection is done via the “Filter: Basic Data” icon in the top blue bar. All available organizations, platforms, domains, and locations can be individually activated or deactivated there. The filter applies system-wide – across all modules.

Example: Analyze IT assets at a specific location

A typical use case:

You want to view only IT systems that are operated at the location “Datacenter A”.

  1. Open the global filter (top right via the filter icon)
  2. Under “Locations”, select only “Datacenter A”
  3. Save
  4. The system list now only shows entries for this location
  5. Reports, business objects, and analyses are also limited to this filter

This makes it possible to work specifically by location, platform, or organization – for audits, client-specific views, or team-based responsibilities.
