Show and Hide IT Assets

Introduction

The “Show/Hide” function in Docusnap365 allows IT assets to be selectively excluded from inventory and documentation or made visible again. There are two mechanisms:

  • Hide (Blacklist): A hidden IT asset no longer appears in the Docusnap365 interface or documentation and will not be displayed in future inventories.
  • Show (Whitelist): A previously hidden IT asset can be made visible again, so it is included in the inventory and appears in the documentation.

Use Cases

Filtering Software Products in Documentation

A company wants to ensure that only actively used software products appear in the documentation. Certain programs that are detected but not used should be excluded.

  • Solution: These programs are added to the Blacklist and will no longer appear in the software documentation.

Flexible Management with Blacklist/Whitelist

An IT administrator wants to remove decommissioned servers from the documentation. However, if these servers are put back into operation, they should be quickly reactivated.

  • Solution:
    • The affected servers are hidden (Blacklist).
    • If needed again, they can be restored via the Show function (Whitelist).

  • Delete: The IT asset is removed from both the documentation and inventory and cannot be restored.
  • Hide (Blacklist): The IT asset no longer appears in the Docusnap365 interface or documentation and does not reappear in future inventories.

Execution: How to Show or Hide IT Assets

Hiding an IT Asset (Blacklist)

  1. Open the Inventory and navigate to the segment where the IT asset is located (e.g., “Systems”, “Software”).
  2. Select the IT asset to be hidden.
  3. Choose the Hide action from the top menu bar or via the context menu (right-click on the IT asset).
  4. The IT asset will no longer appear in the inventory or documentation.

Showing an IT Asset Again (Whitelist)

  1. Click the gear icon in the top right to open the Configuration section.
  2. Under Management, open the list of hidden objects.
  3. In the list of hidden objects, select the desired IT asset.
  4. Choose the Show action to make the IT asset visible again.
  5. The IT asset will now appear in the inventory and documentation again.
